Responsibilities
Grapevine is a small marketing agency serving farms and local food initiatives. This new role (4-10 hours/week) will manage company accounting, taking over these responsibilities from the founder. Responsibilities will include:
Generate accurate client invoices; support and collaborate with team as needed to do so
Manage accounts receivable and send late notices on the rare occasions they’re needed
Manage and audit retainer accounts and related invoicing
Field client questions about invoices, and answer directly or pass on to teammate as appropriate
Carefully manage accounts payable and related record-keeping, including mapping expenses to projects in project management system
Code transactions in Xero
Manage monthly and quarterly business reporting (Xero, project management system, Looker Studio, Google Sheets)
Pull other data and generate reports as needed (e.g. to support business planning needs, support tax accountant, support annual stats presentation for team, etc.)
Manage client/partner/project reporting; reconcile contracts and invoices; support and collaborate with team as needed to do so
Collaborate with Founder and Strategy Director on financial planning
Manage state registrations, entity reports, other state reporting, 1099s
Manage accounting processes and documentation
Take an active role in continuous improvement of processes and systems
We’re a small team and each of us wears many hats, so we may ask for help with some administrative and other needs here and there
Depending on the interest and experience this person has, responsibilities could also include basic HR needs: assist with job postings, manage some applicant correspondence, set up new teammates in Gusto, lead any changes to benefits, draft meaningful team surveys, manage teammate handbook and policies.
There could be an opportunity to expand the role to other areas, including business strategy and operations — and increase hours and pay accordingly.
The job title is open to negotiation.
Qualifications
The ideal candidate is sharp, enthusiastic, highly analytical, and self-sufficient. Essential qualifications include:
3 years professional accounting experience
Deep experience in Xero or Quickbooks
Understanding of retainer accounts
Professional experience preparing and analyzing standard financial reports
Skilled at Google Sheets, including complex formulas, charts, pivot tables
Strong ambition, enthusiasm, and client service mindset
Commitment to efficiency and continuous improvement
Bonus qualifications (not required) could include experience in Looker Studio, Gusto, our project management tool, or HR in general. Compensation & Benefits
Pay:
This fully remote W2 position pays $35/hour, assuming all qualifications above are met and skills are demonstrated via hourly-paid trial assignment. We’re open to negotiating a higher rate if you bring additional experience to the table that would generate additional value based on our current needs.

Work-life balance & 4-day workweek:
Unlike salaried positions, you’re paid for every hour you work. We all work remotely, and our official work week is 4 days, Monday - Thursday, with the understanding some of us may need to work 2 - 6 Fridays per year as needed. (At 4-10 hours per week, you would also be welcome to set your schedule at as few as 2 days/week if you choose.)
